Membership Terms & Conditions

These Terms & Conditions apply to all memberships, bookings, sessions and use of the All Reformer studio and services. By purchasing a membership, booking a session or entering the facility, you agree to these Terms & Conditions.

1. Memberships

1.1 Rolling Monthly Memberships

All memberships operate on a rolling monthly basis unless otherwise stated.

Memberships automatically renew each billing cycle until cancelled by the member or terminated by All Reformer in accordance with these Terms.

1.2 Membership Cancellation

Members may cancel their membership at any time.

Following cancellation, membership access will continue until the next scheduled renewal date.

No partial refunds or pro-rata refunds will be provided for unused time remaining within the billing period unless specifically stated otherwise.

1.3 No Membership Freezes

Membership freezes or pauses are not offered.

Members who wish to stop using All Reformer should cancel their membership. Rejoining is subject to current membership pricing, availability and membership options at the time of rejoining.

1.4 Membership Availability

Memberships and access levels may be limited or capped at All Reformer’s discretion to protect member experience, availability and operational quality.

Availability is not guaranteed at all times.

1.5 Membership Changes

All Reformer reserves the right to amend membership pricing, booking limits, membership inclusions, access rules, opening hours and studio policies where reasonably required for operational, commercial, capacity or member experience purposes.

Reasonable notice will be provided where appropriate.

1.6 Non-Transferable Memberships

Memberships, bookings and session credits are strictly personal and may not be:

  • shared
  • transferred
  • resold
  • gifted
  • used by another individual

Guest bookings are not permitted.

2. Founding Memberships

2.1 Founding Refund Guarantee

Founding members may request a full refund after attending their first session.

To qualify for the refund:

  • the refund request must be submitted within 7 days of the first attended session
  • the request must be emailed to hello@allreformer.co.uk
  • no second session may have been attended
  • any future bookings must be cancelled before the refund is processed
  • the member must have complied with all Terms & Conditions, booking rules and club policies

The refund guarantee:

  • applies once per person only
  • covers the founding membership payment and any additional fees paid as part of the initial joining transaction
  • refunds will only be issued back to the original payment method used

The Founding Refund Guarantee is intended to allow members to experience All Reformer for the first time and becomes void immediately upon attendance of a second session.

All Reformer reserves the right to refuse refunds where fraud, misuse, duplicate accounts, policy abuse or suspicious activity is suspected. Attendance records, account activity and payment information may be verified before refunds are processed.

2.2 Founding Access

Founding memberships are limited in availability and offered on a first-come, first-served basis.

2.3 Founding Pricing Protection

Founding pricing remains valid only while the membership remains continuously active.

If a founding membership is cancelled for any reason:

  • the founding rate is permanently forfeited
  • rejoining is subject to current pricing and availability
  • previous founding rates cannot be reinstated

2.4 Non-Transferable

Founding memberships cannot be transferred to another individual.

3. Membership Usage, Booking Limits & Rollover Sessions

3.1 Session Allocation

Memberships include a monthly allocation of sessions based on the selected membership type.

3.2 Rollover Sessions

Unused sessions may roll over for a maximum of 30 days from the original billing date.

Any unused rolled-over sessions will automatically expire after this period.

Rolled-over sessions:

  • have no cash value
  • are non-transferable
  • cannot be exchanged for refunds, credits or alternative services

3.3 Advance Booking Window

Members may book sessions up to 14 days in advance, subject to availability and their active booking limit.

3.4 Active Booking Limits

To help maintain fair access and protect booking availability for all members, members may hold only one active booking at any time.

An “active booking” refers to any future session currently reserved on a member’s account, regardless of whether the booking uses standard or rolled-over session credits.

This limit applies to all membership tiers (ALL 4, ALL 8, ALL 12 and ALL 20).

Once a booked session has been attended, cancelled within the permitted cancellation window or otherwise released from the member’s account, the member may book their next session, subject to availability.

Active booking limits relate only to the number of future bookings a member may hold at any one time and do not restrict how frequently sessions may be attended.

3.5 Daily Usage Limits

Members may book a maximum of one session per day.

3.6 Session Duration

Standard reformer sessions are 50 minutes in duration.

A 5-minute transition period is provided between sessions to allow members to safely finish, clean down equipment and exit the studio before the next session begins.

Members are entitled to the full duration of their booked session. Time lost due to late arrival by the member will not be added to the session end time.

Official session timing is governed solely by the digital clocks within the facility, synchronised via internet time.

Personal watches, mobile phones or other devices are not considered authoritative for timing disputes.

4. Bookings & Cancellations

4.1 Booking Requirement

All sessions must be booked through the All Reformer app or approved booking platform.

Members may only attend sessions that have been booked and confirmed.

4.2 Bed Selection

Members may select their preferred reformer bed during booking, subject to availability.

All Reformer reserves the right to reassign or remove beds where required for maintenance, safety, technical or operational reasons.

4.3 Session Timing & Transition Window

Members must start and finish sessions within their allocated booking time.

A 5-minute transition period exists between all sessions.

Members are entitled to 50 minutes of reformer use during their booked session and are expected to vacate the reformer and studio space promptly at the end of their session to allow the following member to begin on time.

Official session timing is governed solely by the digital clocks within the facility, synchronised via internet time. Personal watches, mobile phones or other devices are not considered authoritative for timing disputes.

4.4 Session Cancellation Window

Booked sessions may be cancelled up to 2 hours before the scheduled start time.

4.5 Late Cancellation

Sessions cancelled within 2 hours of the booked start time will result in the session credit being forfeited.

4.6 No Shows

Failure to attend a booked session will result in the session credit being forfeited.

No refunds, replacement credits or additional penalties will apply for late cancellations or no-shows unless otherwise stated.

5. Studio Access

5.1 Entry Access

Members may not access the facility more than 10 minutes before their booked session time.

5.2 Leaving the Studio

Members are expected to leave promptly after their session ends to allow others to use the facility without hindrance.

5.3 Authorised Access Only

Only members with valid bookings may enter the facility.

Children, guests, spectators and non-members are not permitted inside the studio.

6. Access Control & Tailgating

Members must not:

  • allow others to enter behind them
  • facilitate tailgating
  • share access credentials
  • share QR codes or app access
  • allow unauthorised entry

Tailgating or facilitating unauthorised access will result in immediate membership termination without refund.

7. Supervised & Unsupervised Operation

All Reformer operates with both supervised and unsupervised opening hours.

Members acknowledge that staff may not always be physically present during use of the studio.

Sessions are delivered through digital/on-screen instruction and are self-guided.

Members are responsible for:

  • exercising within their own ability
  • selecting appropriate workouts
  • using equipment safely
  • stopping exercise if they feel pain, dizziness, discomfort or illness

All Reformer does not provide medical advice or live instructor supervision during self-guided sessions.

8. Safety Onboarding Requirements

Before first use, all members must:

  • complete the health questionnaire
  • accept the liability waiver
  • confirm they have watched the reformer safety/tutorial video prior to using the reformer

Members must not use equipment without completing these requirements.

9. Health & Safety

9.1 Minimum Age

All members must be aged 18 or over.

9.2 Health Responsibility

Members are responsible for ensuring they are physically capable of participating in reformer Pilates and exercise activities.

Members should seek medical advice before participating where appropriate.

9.3 Medical Conditions & Injuries

Members are responsible for disclosing injuries, medical conditions or circumstances that may affect safe participation.

Exercise carries inherent risks and members participate entirely at their own discretion and risk.

9.4 Pregnancy

Pregnant members participate entirely at their own discretion and responsibility.

9.5 Intoxication

Members must not use the studio while under the influence of alcohol, drugs, medication or any substance that may impair judgement, coordination or safe equipment use.

All Reformer reserves the right to refuse access or terminate memberships where this is suspected.

10. Equipment Usage

Reformers and equipment must only be used as intended.

Members must not move reformers or studio equipment.

Unsafe use, tampering or misuse of equipment is strictly prohibited.

Members must stop using equipment immediately if they believe it is damaged, unsafe or malfunctioning and report the issue to All Reformer.

Members may be held financially responsible for damage caused through negligence, misuse or deliberate actions.

11. CCTV & Security

CCTV operates throughout the facility for safety, security, remote monitoring, incident investigation and crime prevention.

By entering the facility, members acknowledge they may be recorded.

CCTV footage and access data may be used during investigations into breaches, incidents, tailgating, unauthorised access or suspected criminal activity.

12. Emergency Systems

Emergency panic systems are available within the facility and must only be used where genuinely necessary.

A WhatsApp/contact support channel is available for non-emergency assistance.

All Reformer may contact emergency services or emergency contacts where there is a genuine safety or welfare concern.

Members may be held responsible for costs arising from deliberate misuse, negligence or reckless behaviour relating to emergency systems, panic alarms, security callouts or emergency responses.

13. Conduct & Behaviour

Members must behave respectfully within the shared studio environment.

The following are prohibited:

  • abusive or threatening behaviour
  • harassment
  • excessive noise
  • disruptive conduct
  • unsafe behaviour
  • criminal activity
  • vandalism
  • theft
  • misuse of equipment
  • misuse of CCTV, security or emergency systems
  • suspected fraud or account misuse

All Reformer reserves the right to refuse, suspend or terminate memberships immediately where reasonably necessary.

14. Hygiene & Studio Standards

14.1 Footwear

Outdoor shoes are not permitted within the studio workout area.

Shoes must be removed and left within the designated storage area before entering the studio floor.

Socks must be worn at all times.

Grip socks are strongly recommended.

14.2 Clothing

Clothing or items likely to damage equipment or upholstery, including exposed zips or studs, are prohibited.

14.3 Food & Drink

No food is permitted within the studio area.

Drinks should remain sealed where possible.

14.4 Products & Upholstery

Members should avoid oils, lotions, fake tan or products that may stain or damage equipment or upholstery.

14.5 Cleanliness

Members must leave reformers and studio spaces clean and tidy after use.

Members must follow cleaning procedures where provided.

14.6 Illness

Members should not attend the studio if they are unwell, contagious or may pose a health risk to others.

Open wounds or injuries must be appropriately covered.

15. Mobile Phones, Audio & Filming

Members may use mobile phones responsibly within the studio but must remain aware of their surroundings while exercising.

Personal audio must be listened to through headphones only.

Loudspeaker audio from phones or devices is not permitted.

Members may create personal content within the studio.

However, filming, photographing or capturing other members without their explicit consent is strictly prohibited.

All Reformer may restrict filming where it impacts privacy, safety or member experience.

16. Commercial Use

The studio is for personal member use only.

No commercial activity is permitted without written approval from All Reformer.

17. Personal Belongings & Storage

Open storage shelving is provided for convenience only.

All belongings are left entirely at the owner’s risk.

All Reformer accepts no responsibility for loss, theft or damage to personal property.

Lost property may be disposed of or donated if unclaimed after a reasonable period.

18. Technology Systems

All Reformer relies on technology systems including apps, booking systems, kiosks, access control and digital workout content.

Temporary outages, maintenance or technical failures may occasionally occur.

All Reformer is not liable for interruptions, delays or access issues caused by technology failures outside its reasonable control.

19. Refunds

Memberships, session credits and payments are non-refundable unless otherwise specifically stated within these Terms & Conditions.

20. Operational Changes & Closures

All Reformer reserves the right to amend opening hours, remove or replace equipment, close parts of the facility or temporarily suspend operations for maintenance, cleaning, repairs, emergencies, events or operational requirements.

21. Force Majeure

All Reformer shall not be liable for failure, delay or interruption caused by events outside its reasonable control.

22. Results & Liability

Participation in exercise carries inherent risks.

Members participate entirely at their own risk.

All Reformer makes no guarantees regarding fitness results, weight loss, body composition, health outcomes or performance improvements.

23. Governing Law

These Terms & Conditions are governed by the laws of England and Wales.

Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
